("QCsolver", "we", "us", "our") is committed to protecting the privacy of everyone who visits qcsolver.com, uses the QCsolver platform, or otherwise provides us with personal information. - Client organizations — the staff of organizations that use QCsolver to manage supplier and contractor compliance.
- Suppliers and contractors — businesses (and their representatives) who submit profiles, documents, and compliance records through the platform.
- Prospects and contacts — people who contact us, request information, or sign up for updates.
QCsolver is governed by Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
2. Information we collect
Information you provide
- Contact details such as name, business email, phone number, job title, and organization.
- Account credentials and profile information for the QCsolver Members Portal.
- Supplier and contractor compliance documentation — for example certificates of insurance, Workers' Compensation / WSIB clearance, health & safety documentation, and compliance attestations.
- Information you include in messages, forms, support requests, or correspondence.
Information collected automatically
- Technical data such as IP address, browser type, device, pages visited, referring URL, and timestamps.
- Usage analytics gathered through cookies and similar technologies (see Cookies and analytics).
3. How we use information
We use personal information to:
- Provide, operate, and improve the QCsolver platform and website.
- Collect, review, verify, and approve supplier and contractor compliance documents on behalf of our client organizations.
- Send compliance notifications, renewal reminders, and service communications.
- Respond to enquiries, provide support, and manage accounts.
- Understand site usage and improve content and performance.
- Meet legal, regulatory, audit, and contractual obligations.

We collect, use, and disclose personal information with your consent, or as otherwise permitted or required by law. Some cookies and scripts are set by trusted third parties, including Google (Analytics), HubSpot (forms and contact), and Cloudflare (security and performance). Their handling of data is governed by their own privacy policies.

We do not sell personal information. We share it only as needed to operate our services:
- Client organizations — supplier and contractor compliance status and documentation are shared with the client organization(s) the supplier is connected to, for procurement compliance purposes.
- Service providers — vetted vendors who help us host, secure, analyze, and support the platform (for example hosting, analytics, and customer communication providers), bound by confidentiality and data-protection obligations.
- Legal and regulatory — where required by law, regulation, legal process, or to protect our rights, users, or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
7. Where your data is stored
QCsolver is Canadian owned and operated. Platform data is hosted in Canada, in a Toronto colocation facility with 24/7 site security, supporting public sector data residency requirements. Certain third-party tools (such as web analytics) may process limited technical data outside Canada in accordance with their own safeguards.
8. How long we keep information
We retain personal information only as long as necessary for the purposes described in this policy, to meet our contractual obligations to client organizations, and to satisfy legal, audit, and regulatory requirements. When information is no longer needed, we securely delete or anonymize it.
9. How we protect information
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit, secured Canadian hosting, and staff confidentiality obligations. No method of transmission or storage is completely secure, but we work continually to protect the information entrusted to us.
10. Your privacy rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Withdraw consent for optional uses, such as analytics or marketing.
- Request deletion of information where we are not legally or contractually required to retain it.

11. Children's privacy
QCsolver is a business-to-business service and is not directed to children. We do not knowingly collect personal information from individuals under the age of majority in their province or territory.

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent version. Material changes will be posted on this page, and where appropriate we will provide additional notice.
